Your team is already using AI tools, with or without permission. A one-page policy converts shadow usage into leverage:
AMBER (with named approval): Customer-facing chatbot responses · analysis feeding pricing or credit decisions · anything trained/prompted on internal financial data.
RED (prohibited): Pasting customer personal data, salary data, or unpublished financials into public AI tools · AI-generated compliance filings without professional review · letting AI commit the business (quotes, contracts) without human sign-off.
THE STANDING RULE: AI drafts, humans decide. Accountability never transfers to the tool.
India note: customer personal data in AI tools intersects with DPDPA consent obligations; include it in your compliance dashboard review.
F. Data Hygiene Rules NEW IN V4
1. ONE MASTER: Every entity (customer, SKU, vendor) has exactly one master record, one owner, one ID.
2. ENTER ONCE: Data is captured at the point of origin, never re-typed between systems. Re-typing is where errors breed.
3. NO ORPHAN SHEETS: Any spreadsheet older than 90 days without an owner is deleted or adopted.
4. NAMING LAW: [YYYY-MM-DD]_[Client]_[Doctype]_[Version]. Searchable beats memorable.
5. MONTHLY PURGE: 30 minutes, last Friday of the month: duplicates merged, dead records archived.
